Administrative Assistant to the CEO

Confidential Baltimore, Maryland

Position Summary: Reporting directly to the Chief Executive Officer (CEO) with oversight from Operations, the Administrative Assistant to the CEO provides support for all administrative and executive needs of the CEO. It is essential the Administrative Assistant be punctual, organized, detail-oriented and maintain confidentiality and discretion at all times. This position offers growth opportunities within the organization. • Manage scheduling and communications (agendas, mail, email, calls, travel, teleconferences, client communication and management, and other company needs) • Maintain and manage an accurate and detailed calendar for the CEO (scheduling requests, changes and conflicts, and coordination) as necessary • Read and route correspondence; draft letters and documents, and initiate communications • Track and prioritize CEO’s tasks and projects with respect to deadlines and organizational developments • Ensure consistent and efficient interaction with others across the organization • Research, compile and summarize various initiatives • Track and reconcile CEO's expenses following internal processes • Support special projects and other executives within the organization as needed • Willingness to cover occasional on-call evening/weekend hours Required Skills, Education and Experience: • Bachelor’s degree • One or more years of experience in providing Executive-level, preferably C-Level, administrative support, recent college graduates encouraged • 1+ years working remotely • Strong interpersonal skills and communicator • Professional and positive attitude and work ethic • Ability to maintain confidentiality and discretion at all times • Exceptional verbal, written (and note-taking), and presentation skills • Detail-oriented, and organized with the ability to coordinate multiple tasks/projects simultaneously • Ability to work effectively both independently (with minimal supervision), and as part of a team • Ability to work in a fast-paced and sometimes unpredictable environment • Ability to work well under pressure and meet tight deadlines; making quick and sound decisions • Computer and tech- savvy; PC and Mac • Proficient in Microsoft Office and Google Suite products; Word, Excel, PowerPoint, Google Drive, Zoom, various Social Media Platforms, with the aptitude and willingness to learn new software and systems, working knowledge of Slack a plus • Experience in journalism, grant writing, and/or non-profits a plus • CAP certification a plus Company Bio: The Urban Health Media Project (UHMP) teaches high school students in Washington, D.C., and Baltimore to report on health and social issues that are often overlooked in their communities.
