Data Entry Specialist - d'aprile properties MAIN OBJECTIVE: The Data Entry Specialist is an administrative supporting role to the Operations Manager within the d’aprile properties Leasing Division. The Data Entry Specialist will assist by creating listings within You Got Listings, and maintaining existing listings with daily updates. Initial training will occur in person, then moving forward this will be a hybrid in- office/work from home arrangement. BASIC JOB RESPONSIBILITIES: ● Create and maintain listings in You Got Listings internal database ● Maintain transactions and files via Paperless Pipeline ● Update Paperless Pipeline file through life of the transactions, including status of transaction and documentation, as needed ● Upload necessary file documentation ● Update documentation by renaming docs, moving them to correct category, and work with the Leasing Division Operations Manager to ensure data accuracy and compliance to prevent errors ● Access DocuSign accounts to assist with retrieving contracts and signed communications ● Request client reviews and testimonials ADDITIONAL JOB RESPONSIBILITIES: ● Work with the office OM and MB team members to ensure projects are completed ● Actively monitor transaction status by being copied on all contract emails ● Assist with the scheduling of photos with photography companies ● Assist with scheduling buyer showings, inspections, and appraisals ● Work with OM/MB team to assist with onboard new agents, when needed ● Create draft on the MLS for listings, to be reviewed and approved by agent, with the exception of the description, remarks, agent remarks, and any special notes ● Other duties as assigned based on business needs QUALIFICATIONS: ● Prior Real Estate/Leasing and customer service experience strongly preferred ● Technologically proficient on PCs and Macs and able to navigate software programs ● Ability to quickly learn new software systems ● Possesses excellent organizational skills and file management skills ● Possesses excellent customer service skills ● Possesses creative problem solving skills REQUIREMENTS: ● 3+ years administrative and customer service experience ● Must be detail oriented, a good problem solver, and a self- starter ● Knowledge of and prior experience with leasing or real estate company strongly recommended ● Exceptional organizational and time management skills ● Experience with Google Suite, Microsoft Office, Docusign and any CRM (Mac and Windows experience needed) ● Ability to multi-task and quickly change focus to support different customer needs ● Ability to prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints ● Positive attitude and great customer service skills ● Intermediate computer and software experience (On both Mac and Windows) ABOUT OUR COMPANY AND CULTURE d’aprile properties is a real estate brokerage that serves the Chicagoland area as well the primary and secondary home communities of Northwest Indiana, Southern Wisconsin, Southwest Michigan and Florida.
