Executive Assistant to CEO/President

We are seeking a "seasoned" Executive Assistant to support our CEO/President. This position requires initiative, independent decision making and a Business Partner mindset. In this role, you will be directly involved in managing various projects throughout the organization. Streamline and enforce schedule -Update Business Development leads for executive -Make travel and accommodation arrangements -Track daily project purchases, executive expenses and reimbursements -Coordinate new employee setups (computers, accounts, etc) and welcoming -Coordinate information for internal and external communication, emails and presentations for senior executives -Screen and direct phone calls -Administer the executive's select outside business ventures Marketing -Assist in the design and implementation of marketing campaigns -Collaborate with the design resources to develop promotional materials (hats, shirts, gifts) -Coordinate and bring all content and materials in a single, cohesive document or presentation for qualification packages, proposals, and interview materials -Create image and video content for social media to increase followers and create a stronger social media presence -Encourage co-workers to provide media to use on social media platforms -Maintain information on the company website to keep content current -Coordinate photography in progress and at project completion to keep the website and social media presence current -Occasional Support the Director of Development on their marketing deliverables. -Ensure compliance with insurance, legal, health and safety obligations -Coordinate with marketing and PR to promote and publicize events -Ensure a successful event by directly managing on the event day (weekend work may be required) -Conduct pre and post event evaluations and report on outcomes Requirements: -Experience as an Executive Assistant, Personal Assistant or similar role -Bachelor’s degree or 5 years experience -Corporate event planner -Google Suite -Excellent MS Office knowledge -Familiarity with Client Relationship Management, Hubspot or similar, and Content Management software -Outstanding customer service -Familiarity with office equipment and applications -Excellent verbal and written communications skills -Discretion and confidentiality -Detail oriented, highly organized, ability to work independently while creating a team atmosphere -Takes initiative, refines systems, and looks to continually update and enhance processes -Ability to manage multiple projects independently -Outstanding organizational and time management skills -Ability to define problems, collect data, establish facts and draw valid conclusions -Business Partner mindset and desire to grow within the role Nice to Have: -Adobe Suite proficiency (InDesign, Photoshop, Illustrator, etc.)
